As a Medical Virtual Assistant, you will support healthcare providers and medical practices by managing administrative, documentation, and patient coordination tasks that keep clinical operations running smoothly.
In this role, you help ensure that patient scheduling, medical records, and healthcare communication workflows are accurate, organized, and compliant with healthcare standards. One day you may be coordinating patient appointments and verifying insurance eligibility, while the next you may be updating medical documentation, preparing patient charts, or assisting providers with intake information before consultations.

• Coordinate patient appointments, rescheduling, confirmations, and provider calendars to maintain efficient scheduling workflows.
• Communicate with patients via phone, email, or secure messaging to manage reminders, documentation requests, and appointment preparation.
• Manage patient intake processes, ensuring all required information and documentation are completed before scheduled consultations.
• Maintain accurate patient records within Electronic Medical Record (EMR/EHR) systems.
• Assist with medical documentation tasks such as chart preparation, updating patient histories, and organizing clinical notes for provider review.
• Verify insurance eligibility and benefits prior to appointments.
• Assist with insurance-related administrative processes such as prior authorizations, referrals, and documentation requirements.
• Track patient documentation, lab results, referrals, or other clinical records needed for ongoing treatment.
• Maintain organized logs of patient communications, documentation updates, and appointment changes.
• Identify scheduling conflicts, incomplete documentation, or missing patient information that may impact provider efficiency or patient care.
• Support providers by preparing patient summaries, intake details, or documentation packets prior to consultations.
This role is for professionals who:
• Have experience supporting healthcare providers, clinics, or telehealth practices in an administrative or virtual assistant capacity.
• Are highly detail-oriented and understand the importance of accuracy when managing medical documentation and patient information.

• Minimum of 1 year experience supporting a healthcare provider, clinic, or telehealth organization as a Medical VA or healthcare administrative professional
• Strong written and spoken English
• Experience working with Electronic Medical Record (EMR/EHR) systems such as Athenahealth, Kareo, eClinicalWorks, Practice Fusion, or similar platforms
• Experience managing patient scheduling, insurance verification, and medical documentation workflows
• Strong understanding of healthcare administrative processes including patient intake, referrals, and appointment coordination
• High level of accuracy and discretion when handling sensitive patient information
• Strong organizational skills and ability to manage multiple administrative workflows
• Reliable computer or laptop (Intel i5 8th Gen+, Ryzen 5 3000+, or Mac Core i5 2017+, 8GB RAM minimum)
• Stable internet (30 Mbps minimum)
